Executive Assistant Services for Australian and New Zealand Businesses

The distinction that matters between an executive assistant and a general assistant is who the work belongs to. A virtual assistant supports a business; an executive assistant supports a person. That difference shows up immediately in the nature of the job. An EA is deciding which of forty emails the chief executive actually needs to see, protecting the two hours a week that were supposed to be for thinking, knowing which board member to call first and which conversation cannot go in writing. Virtually Anything provides remote executive assistant support to chief executives, founders, directors and senior leaders across New Zealand and Australia. It is judgement work, and we staff it accordingly: every assistant has at least eight years of experience, and you work with the same person throughout.

The Rhythm of High Performance

Support for the Person, Not Just the Business

Most executives do not need more hours of admin done. They need fewer decisions arriving at them badly framed. A good EA absorbs the triage: the meeting request that should have been an email, the supplier who has emailed three times, the report that is due Thursday and needs three people to contribute before it can be written. What reaches you has already been sorted, chased and prepared.

That is why executive assistance is harder to hand over than general administration and why it repays the effort. The first month is genuinely more work for you, because the assistant is learning who matters, what is confidential and where your judgement is actually required. By month three most clients are handing over the whole inbox.

Flexible Executive Assistant Services for Leadership and Coordination

The classic sign that an organisation has outgrown its current arrangement is a chief executive doing calendar administration at ten at night. It is easy to dismiss as unavoidable, but it is expensive: the hourly cost of the person doing it is the highest in the business, and the work itself is the least demanding thing they will do all day. The reason it persists is usually that the alternative looks like hiring an EA at a full salary for a role that might be three days of genuine work, and for most organisations under fifty people that does not stack up. Remote executive assistance resolves the mismatch by pricing the support by the hour. You get the seniority and the discretion without committing to a permanent appointment, and the arrangement can scale up around a funding round, a board cycle or a period of growth and settle back afterwards.

We can help with:

  • Inbox and email management for executives
  • Diary management and calendar control
  • Meeting preparation, agendas and minutes
  • Board papers and governance documentation
  • Stakeholder and client communication
  • Travel booking and itinerary management
  • Priority tracking and follow-through
  • Report preparation and presentations
  • Project and event coordination
  • Confidential and discreet executive support

Executive support is judged on judgement. It is less about volume than about knowing what should reach you, what can be dealt with without you and what needs chasing, which is why it is built around one assistant who stays with you rather than a pool.

Executive Assistance

Virtual Assistant

A broader, more general brief. Sensible when the need is capacity across everyday administration, scheduling and coordination, rather than dedicated support for one leader.

Board Secretary Services

Executive Assistant

The focus of this page. Senior, discreet support for owners, chief executives and founders: inbox and diary ownership, priority protection, stakeholder communication, project follow-through and the preparation that makes meetings useful.

Board Secretary Services

Board Secretary Services

Frequently paired with executive support, because the same leaders answer to a board: meeting preparation, agendas, minutes, action tracking and governance documentation.

Leadership Support

Administrative Assistant

The detail work that sits underneath executive support: documentation, records, internal processes, scheduling and email management, handled accurately and consistently.

Operations Assistant

Operations Assistant

For pressure that sits in the business rather than in the executive diary: process coordination, task tracking, supplier communication and internal organisation.

Executive Assistant and Board Secretary Support

We are a New Zealand agency supporting executives in both New Zealand and Australia. Same time zone for New Zealand clients; for Australian executives we are two hours ahead of Sydney and Melbourne, which means the diary has usually been sorted and the overnight inbox triaged before your first meeting. Board papers, travel and stakeholder correspondence do not depend on anyone being in a particular building.

Why Choose Virtually Anything for Executive Assistant Services?

Executive support is a role built on trust, so we do not rotate people through it. You work with one assistant who learns your priorities, your board, your key relationships and the things you would rather were handled without being asked. Confidential material is treated accordingly: credentials sit in a secure password manager and folder access is limited to your assistant and the Director.

We also bring governance experience to the role, which a standalone EA hire often will not have. If your organisation has a board, the same team can prepare papers, manage the meeting cycle and take minutes, rather than leaving that work to fall between the executive and the chair.

Flexible Virtual Services that Grow With You

Our support is structured around where you are in your business journey. Whether you need a few hours of focused executive support each month or a dedicated team across multiple areas of your leadership operation, we scale with you. No lock-in contracts, no unnecessary overhead - just experienced support that flexes as your needs change. Download our services guide to find out more.

Frequently Asked Questions

Executive Assistant FAQs

How will you keep my information safe?

We take data protection very seriously. We store all sensitive information like passwords in a secure password manager and have a policy in place that all passwords created by us are unique. Only your dedicated team member and the Director have access to your folders.

How do I know if the services I’m receiving are within the budget we have set?

We will keep you updated on this weekly. Any tweaks to efficiencies to make sure we come in on budget are done along the way. Any other anomalies will be discussed with you.

Where are your team based?

All of our team are based in New Zealand, spread across Auckland, Wellington, Christchurch, Northland and beyond. We also serve clients across Australia, so wherever you are we've got you covered.

How experienced are the team?

All of the team must have a minimum of 8 years’ experience.

How will we communicate?

However you like! Our job is to make your life easier so we can pretty much integrate ourselves within the systems and tools you’re already using. If you’re not using any we can make suggestions based on your needs.

Can you meet me face to face?

Yes, possibly. If we have someone on the ground local to you, we will absolutely accommodate face to face meetings. We just allocate travel time within the budget.

What is the difference between an executive assistant and a virtual assistant?

A virtual assistant supports the business; an executive assistant supports a person. In practice an EA handles inbox triage and gatekeeping, diary control, board and meeting preparation, stakeholder correspondence, travel and confidential administration, and is expected to exercise judgement about what reaches you rather than waiting to be told.

How long does it take before an executive assistant is genuinely useful?

Expect the first month to be more work for you, not less, because the assistant is learning who matters, what is confidential and where your judgement is genuinely required. Most clients are handing over the whole inbox by around month three, and that is when the arrangement starts paying for itself.

Can a remote EA handle confidential and board-level material?

Yes, and a large share of our executive work is exactly that. Credentials are held in a secure password manager, access to your folders is limited to your dedicated assistant and the Director, and our team has governance experience, so board papers, agendas and minutes are familiar territory rather than something learned on your account.

Is remote executive assistance suitable if I need someone in the room?

Most executive support does not require physical presence, and the parts that seem to often turn out not to. Where we have someone local we can accommodate face-to-face meetings, with travel time allocated within the budget. If your requirement is genuinely a daily in-person presence, an employee is the better answer and we will say so.

How is Virtually Anything different from other executive assistant providers?

Our assistants have a minimum of eight years of experience, you work with the same person rather than a pool, and we combine executive support with board secretary, operations and marketing administration. That matters when an organisation grows into governance obligations, because the same team can absorb them.

Can you work with my existing systems?

Yes. We work inside whatever you already use for email, calendar, documents and project management rather than asking you to change tools. If you are not using anything in particular, we will suggest something that fits how you work instead of imposing a system.

What if I need support at short notice around a board meeting?

Board and reporting cycles are predictable, so we plan capacity around them. Support can scale up for a meeting cycle, a funding round or a period of growth and settle back afterwards, which is one of the practical advantages of contracted support over a permanent appointment.

Do you support more than one executive in the same organisation?

Yes. It is common for support to start with the chief executive and extend to a wider leadership team, and there are advantages to that: one assistant who can see across several diaries can resolve scheduling conflicts that would otherwise take a chain of emails.

Executive Assistant Services Across New Zealand and Australia

New Zealand and Australian organisations tend to reach the point of needing executive support earlier than they expect and later than they should. The trigger is rarely growth in headcount. It is usually the arrival of a board, an investor, a funder or a regulator, all of which generate correspondence, reporting cycles and meetings that have to be prepared properly rather than assembled the night before. That is the work an experienced EA takes off a chief executive first. For directors wanting to understand what good governance support looks like, the Institute of Directors publishes practical guidance on the obligations that sit behind those meetings. Our role is to make sure the executive is not the person doing the assembly.

Executive Assistant Services for New Zealand Businesses

For New Zealand businesses, Virtually Anything provides local, responsive and professional executive assistant support from a team that understands the pace and demands of growing organisations. Whether you are based in Auckland, Wellington, Christchurch, Northland or anywhere else in New Zealand, we can help you create the structure and breathing room needed to keep moving forward.

Our New Zealand clients often come to us when they are juggling too much themselves. They need someone who can bring order to the detail, manage the moving parts and support them with confidence. We help with everyday executive administration as well as board coordination, governance documentation, operations assistance and digital marketing administration.
